Summary:

The AV-Drop Production Coordinator plays a pivotal role in overseeing all aspects of the AV-Drop rental process, ensuring meticulous project coordination for pre-event preparations. This position requires a high level of attention to detail and excellent project management skills.

Duties and Responsibilities:

• Production Requirements:
  • Develop, monitor, and provide access to daily production requirements.
  • Create and manage rental quotes and progress tracking for AV-Drop clients.
• Client Communication:
  • Monitor the progress of AV-Drop rental quotes and projects for various locations.
  • Work closely with clients to develop floor plans and layouts for AV-Drop setups based on their needs.
• Project Management:
  • Effectively manage projects, including scheduling, coordination with venues, crew, and warehouse.
  • Assign duties and monitor the quality of work within the AV-Drop warehouse.
• Collaboration:
  • Collaborate with the Production Office to ensure efficient and safe packing practices for each AV-Drop build.
  • Review drawings and packing lists to ensure completeness.
• Logistics and Operations:
  • Maintain direct communication with the Production Office to update project statuses.
  • Interface with warehouse staff, office staff, and production crews to coordinate daily logistics and operations.
• Prioritization:
  • Prioritize daily workloads, schedules, and shifts based on project due dates.
  • Partner with a production coordinator in the Drape Rental department when necessary.
• Team Management:
  • Keep employees on track with their projects and hold them accountable for meeting deadlines.
  • Indirectly supervise shipping, scheduling, and other staff involved in AV-Drop projects.
• Customer Service:
  • Provide excellent customer service and build relationships with clients, working closely with Business Development Managers to develop accurate quotes.
• Reporting and Documentation:
  • Generate daily reports to track production progress.
  • Perform other related duties as assigned by management.

Qualifications:

• Bachelor's degree (B.A./B.S.) in theatre or similar.
• Proficiency in either AutoCAD, Sketchup, Vectorworks or Visio.
• Knowledge of scenic/theater set design and construction.
• Ability to read and comprehend shop drawings, site plans, maps, and fabricate scenic elements or props based on renderings or drawings without supervision.
• Two to four years of related experience or equivalent.
• Proficient in Microsoft Suite.
• Strong organizational, problem-solving, and analytical skills.
• Versatility, flexibility, and the ability to work within changing priorities.
• Ability to work independently and within teams.
• Proven leadership and business acumen.
• Effective communication skills.
• Ability to handle multiple projects and meet deadlines.
• Good judgment and the ability to make timely decisions.
• Understanding of safety requirements and cautions.
• Physical ability to perform necessary labor tasks.
• Effective communication with individuals at all levels and from various backgrounds.
