Summary:
We are seeking an experienced Global Purchasing & Logistics Manager to join our dynamic events company. In this role, you will oversee the end-to-end logistics operations for our global events, ensuring seamless transportation, delivery, and setup of all event materials, equipment, and supplies across international borders. You will collaborate closely with event planners, suppliers, and third-party logistics providers to execute flawless events worldwide, maintaining efficiency, cost-effectiveness, and exceptional service.
Key Responsibilities:
Global Logistics Planning & Strategy:

- Lead and develop comprehensive logistics strategies for events across multiple countries, focusing on timely, cost-efficient transportation of materials and equipment.
- Work closely with internal teams (event managers, designers, suppliers) to determine the logistical needs of each event and coordinate the necessary resources.
- Evaluate and implement best practices in global logistics operations, ensuring consistency and excellence in service delivery across all events.
Transportation & Shipping Management:

- Manage the coordination of international shipments (air, sea, and ground) to and from event locations, including selecting transportation methods, scheduling, and routing.
- Oversee customs compliance, import/export documentation, and any necessary permits or regulations for international shipping.
- Negotiate with freight forwarders, shipping companies, and logistics providers to optimize cost and service levels.
Supplier & Vendor Management:

- Build and maintain strong relationships with global logistics providers, freight forwarders, customs brokers, and suppliers to ensure the smooth execution of events.
- Review vendor performance regularly and implement improvements where necessary to ensure quality, reliability, and cost-efficiency.
- Coordinate with vendors to ensure all necessary materials, equipment, and inventory are delivered on time and to the correct specifications.
Inventory & Warehouse Management:

- Oversee the management of event materials and equipment inventory, ensuring proper tracking, storage, and movement of items.
- Ensure that all event-related materials are packaged, labeled, and tracked for easy identification and retrieval during setup and teardown.
- Coordinate the return of materials and equipment after the event, ensuring safe handling and timely delivery to warehouses or storage facilities.
On-Site Logistics Oversight:

- Supervise on-site logistics for events, ensuring that all materials, equipment, and supplies are delivered, set up, and ready for the event according to the timeline.
- Collaborate with event managers and on-site teams to troubleshoot and resolve any logistical issues that arise during setup or the event itself.
- Monitor and manage the unloading/loading of materials, ensuring proper handling and organization.
Budgeting & Cost Control:

- Develop and manage logistics budgets for each event, ensuring that transportation, shipping, and storage costs stay within budgeted limits.
- Identify opportunities for cost reduction in logistics operations without compromising service quality.
- Provide detailed reports on logistics-related expenses to management, ensuring transparency and cost control.
Health, Safety & Compliance:

- Ensure that all logistics operations comply with local regulations, industry standards, and safety protocols.
- Implement safety measures related to the transportation and handling of equipment, ensuring a safe environment for logistics teams and on-site staff.
- Monitor and report on compliance with regulations in various countries related to customs, transportation, and safety.
Team Leadership & Development:

- Manage a team of logistics coordinators, ensuring clear communication, goal alignment, and professional development.
- Foster a collaborative, efficient, and solutions-oriented team environment.
- Provide training and guidance to team members on logistics processes, best practices, and tools.
Qualifications:
- Education & Experience:
- Bachelor’s degree in logistics, supply chain management, business, or a related field preferred.
- 5+ years of experience in logistics management, preferably within the events or entertainment industry.
- Prior experience managing international logistics, shipping, and customs procedures is required.
- Skills & Competencies:
- Strong knowledge of global transportation, freight forwarding, customs regulations, and international shipping.
- Proven ability to manage multiple logistics projects and deadlines under pressure.
- Excellent negotiation skills with experience working with third-party logistics providers.
- Strong problem-solving skills and the ability to think quickly and adapt to changing circumstances.
- Proficient in logistics management software and Microsoft Office Suite (Excel, Word, PowerPoint).
- Excellent communication skills, both written and verbal, with a focus on collaboration and relationship-building.
- Experience in the event planning, entertainment, or trade show industries.
- Multilingual skills are a plus, especially in languages relevant to key global markets.
